Position Summary:    
Performs administrative service activities that support the needs of customers in the office environment. 

Position Responsibilities:
  • Opens/sorts in-coming mail, courier and faxes
  • Process all outgoing mail and couriers
  • Notifies associates when courier packages are available for pick up
  • Operates mailing machine including troubleshooting and maintaining appropriate funds
  • Troubleshoots issues with UPS and ensure sufficient supplies are available
  • Orders and stocks mailroom supplies
  • Order and stocks coffee stations with Coffee/supplies
  • Supports HR with onboarding process by maintaining online distribution list, access card activation/deactivation and locker assignment at head office
  • Ensures copier stations are adequately stocked with the appropriate supplies
  • Accounts Payable/SRM Requestor & Receiver (PO Creation in Oracle)
  • Assists with maintaining BCOSCAR mailbox and webpage - Office Services & Support System for office-related issues – including National Program
  • Receives business card requests nationally and forwards to appropriate Vendor
  • Liaises with Property Management on office-related issues.
  • Provides support with Vendors attending Head Office
  • Requirement to be in the office 5 days per week
  • Provides support with Vendor Management
  • Potential to become a joint Health & Safety Committee Member representing the Facilities Team at Head Office     
Required Experience And Education:          
  • High school diploma and a minimum 2 years’ office experience     
Required Skills And Knowledge:
  • Working knowledge of Microsoft Office, Excel and Word
  • Working knowledge of Share Point
  • Excellent interpersonal and oral communication skills
  • Ability to work with multiple tasks, noise and interruptions
  • Knowledge of the Company and the organizational structure
  • Ability to operate basic office equipment
  • Able to Lift 10-40lbs of boxes/deliveries
  • Occasional lifting-pushing-pulling/moving of carts
  • Good organizational skills and the ability to work within tight deadlines
  • Must be able to work in a team environment
  • Knowledge of Oracle is an asset.
