Position Overview:
The MRO Spare Parts Stores Inventory Specialist manages close to $4 million inventory portfolio, serving as the strategic link between maintenance operations, procurement, and financial management. This role ensures optimal inventory levels, accuracy, cost control, and timely parts availability to support 100% equipment reliability and operational continuity at the Edmonton facility. The Specialist drives continuous improvement in inventory processes and maintains compliance with BIMBO Canada's Asset Management Program and Global standards.
Key Responsibilities:
Inventory Management & Control (40%)
- Manage and optimize inventory levels (Strategic-A, Essential-B, Cash & Carry-C) within $4M portfolio
- Conduct daily cycle counts on high-value items and critical inventory; 100% annual physical counts
- Achieve and maintain ≥95% inventory accuracy through reconciliation and investigation of discrepancies
- Manage Maximo master data: maintain min/max levels, prevent obsolescence, enforce "No WO = No Part" policy
- Implement fraud prevention through segregation of duties, two-person verification on high-value parts, and access controls
- Implement barcode scanning systems and FIFO protocols for parts with limited shelf life
Receiving, Storage & Organization (35%)
- Inspect all incoming shipments for quality, quantity, and compliance; manage returns and credits
- Organize storeroom with clear labeling, logical part arrangement by usage frequency, and bin location system
- Kit parts in designated areas for planned CM/PM work orders; manage tool crib with sign-out/sign-in control
- Process parts issuance exclusively through formal work order requisitions with 2-person verification on high-value items
- Maintain clean, organized, food-safe storeroom environment compliant with food industry standards
Procurement & Vendor Management Support (10%)
- Support Qualifying suppliers and maintain preferred vendor list
- Develop and/or manage Vendor-Managed Inventory (VMI) agreements.
- Monitor supplier delivery performance; escalate SLA failures to Maintenance Manager
Data Management, Analysis & Reporting (10%)
- Generate and analyze weekly/monthly KPI reports: inventory accuracy (≥95%), turnover rate, stock-out frequency (<2%), obsolescence (<2%), fulfillment rate
- Prepare monthly reports for plant management with cost-saving recommendations
- Maintain Equipment Bill of Materials (EBOM) in Maximo
- Support variance investigations, reconciliation processes, and management inquiries
Continuous Improvement & Standardization (5%)
- Identify and execute standardization opportunities to reduce part diversity and inventory waste
- Manage obsolescence reviews on 5-year cycle; execute formal disposal processes with proper documentation
- Lead process improvement initiatives; participate in kaizen events and continuous improvement projects
Experience & Education:
- College degree in Supply Chain, Business, Materials Management, or equivalent diploma along with 3+ years professional experience
- 3–5 years inventory/materials management (2+ years MRO-specific); proven experience managing at least $2M+ inventory portfolios
- Expert proficiency in Maximo CMMS; advanced Excel skills; barcode/RFID technology; working knowledge of industrial bakery equipment (mixers, ovens, proofers, baggers)
- Maximo advanced user training required within 6 months; BIMBO Canada Asset Management training required within 90 days; Food Safety certification required
- Strong analytical and problem-solving skills; attention to detail; cost management and financial acumen; vendor scorecard development; forecasting; food industry compliance knowledge; collaborative leadership
ESSENTIAL COMPETENCIES & WORK ENVIRONMENT
Technical Competencies: Inventory management systems (Maximo) or similar, spreadsheet expertise (Excel), equipment knowledge, procurement processes, cycle counting/auditing, barcode/RFID technology, food safety standards.
Leadership & Interpersonal: Clear communication (verbal/written), cross-functional collaboration, problem-solving, customer service mindset, meticulous attention to detail, integrity/ethics, reliability, organizational skills.
Physical Requirements: Ability to lift 50 lbs regularly; stand/walk extended periods; operate material handling equipment (forklift certification required); work in temperature-controlled warehouse environment; maintain professional appearance and food-industry sanitation standards.
Work Environment: Primarily warehouse/storeroom with climate-controlled storage; day shift with potential occasional off-shift coverage; interaction with vendors, contractors, and production personnel; subject to food safety and operational compliance policies.
REPORTING RELATIONSHIPS
Direct Report To: Maintenance Manager | Key Stakeholders: Maintenance Planners, Schedulers, Technicians, Procurement, Production Operations, Quality/Food Safety, Finance/Accounting, Plant Manager
The annual salary range for applicants is: $70,000- $85,000, which does not include discretionary bonus compensation or our comprehensive benefits package. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other factors.
