Assistant Manager, Execution Specialist

Position Summary: 

A strategic and detail‑oriented operations professional responsible for driving clarity, consistency, and executional excellence across a complex portfolio of initiatives. Reporting to the Manager, Execution Specialist, this role supports the function by managing key operational workflows, maintaining high‑quality documentation, and ensuring that execution materials are accurate, timely, and aligned with organizational priorities. 

The Assistant Manager plays a pivotal role in transforming complexity into clear, actionable communication. By developing and maintaining monthly execution packages tailored by region and channel, they help leaders, cross‑functional teams and the field execution team stay aligned on priorities, weekly focus areas, display standards, and execution guidance. Their work strengthens organizational rhythm, enhances visibility, and empowers teams to execute with confidence and precision. 

 

Key Responsibilities & Accountabilities 

Monthly Execution Package Production 

  • Maintain and enhance standardized templates (tables, one‑pagers, execution pages), ensuring consistent formatting, visuals, and structural accuracy. 

  • Populate predefined sections with required inputs, such as product details, timelines, and execution guidance, while proactively identifying gaps or missing information. 

  • Uphold strong file‑management practices, including version control, naming conventions, and readiness for publishing. 

  • Identify and document opportunities to streamline processes and improve the end‑user experience. 

Banner Confirmation & Execution Tracking 

  • Coordinate key reminders and deadlines to ensure timely submissions from internal and field partners. 

  • Update and maintain execution trackers, capturing status, ownership, timelines, and follow‑up actions. 

  • Draft follow‑up communications and “missing information” summaries to support alignment and ensure outstanding inputs are collected. 

  • Maintain up‑to‑date customer or banner listings as new information becomes available. 

 

Automation & Process Improvement Support 

  • Maintain structured calendars and automated tools by validating links, updating data, and ensuring completeness. 

  • Track recurring issues, rework drivers, and process gaps to support continuous improvement initiatives led by the Manager, Execution Specialist. 

Meeting & Documentation Support 

  • Prepare meeting materials, including agendas, presentation, and note taking, when required. 

  • Maintain an organized archive of monthly execution packages and post‑execution documentation for easy reference and auditability. 

Qualifications & Experience 

  • Bachelor’s degree in Business, Marketing, Analytics, or a related field. 

  • 2–3 years of experience in Consumer Packaged Goods (CPG), field sales, customer sales, commercial operations, or another execution‑focused environment. 

  • Advanced proficiency in Microsoft Excel and PowerPoint, familiarity with dashboarding or reporting tools (e.g., Power BI) is an asset. 

  • Exceptional attention to detail with a proven ability to maintain accuracy across templates, trackers, and execution documentation. 

  • Demonstrated ability to manage multiple priorities and deliver high‑quality work under tight timelines. 

  • Proactive, performance‑driven, and comfortable operating in a fast‑paced, evolving environment. 

  • Action‑oriented mindset with a commitment to operational excellence and measurable results. 

  • Innovative thinker with a collaborative, solutions‑focused approach to problem‑solving. 

 

Core Competencies 

  • Attention to Detail: Delivers precise, error‑free work across all execution materials and reporting. 

  • Technical Proficiency: Strong command of Microsoft tools and digital workflows, adept at managing complex documentation and deadlines. 

  • Collaboration: Builds strong, productive partnerships with Sales, Marketing, Omnichannel Marketing, Field Sales, and other cross‑functional teams to ensure alignment and seamless execution. 

  • Communication: Strong written and verbal communication skills in English, with the ability to influence and collaborate effectively across cross‑functional teams (bilingual proficiency in French is an asset). 

  • Business Acumen: Applies a solid understanding of commercial drivers, customer dynamics, and category fundamentals to ensure execution plans are practical, prioritized, and aligned to business objectives. 

  • Innovation & Continuous Improvement: Identifies opportunities to streamline processes and leverage new tools, including automation and AI.
