Hiring Requirements: The Maintenance Coordinator position is to ensure the efficient management of tracking, and delivery of materials. This role involves working closely with suppliers, supervisors, and project managers to ensure that materials are available when needed, and that inventory levels are properly maintained.
Key Responsibilities: Purchasing
In this role, you will oversee the entire procurement process, focusing on securing services that deliver the best value.
You will develop and implement procurement strategies, manage supplier relationships, optimize supply chain operations, and ensure compliance with company policies.
Create purchase orders for replacement materials and Inventory items
Prioritize and expedite orders
Manage logistics of incoming and outgoing shipments
Monitor in Oracle and Maximo ERP software, purchase order status, investigate and communicate with appropriate personnel, when discrepancies exist.
Ensure invoices have been processed with our AP department for payment after materials have been received
Process claims for deficient products
Analyze inventory reports (expiry, upcoming shortages, etc.) to identify risks or errors, and communicate with key stakeholders (Planning department) to implement timely solutions
Maintain an approved vendor list
Implement cost containment strategies without compromising quality or timelines.
Conduct cost analysis to identify potential savings and efficiency improvements.
Utilize procurement and ERP software to streamline purchasing processes and ensure accurate record-keeping.
Maintain detailed documentation of procurement activities, including contracts, purchase orders, and supplier communications.
Maintain accurate records of materials ordered, delivered, and used
Managing inventory
Reviewing reports to ensure inventory levels are accurate in ERP system(s)Spot check physical inventory as required
Monitor stock levels to avoid shortages or overstock situations while supporting lean manufacturing principles.
Conduct regular audits to ensure adherence to company policies and procedures.
Support annual inventory count and audit process.
Support RMA process, monitoring On-Hold inventories
Support the maintenance team with inventory supply and demand
Establish re-order points in the system, and track consumption accordingly.
Ensure goods are sourced in a timely manner based on equipment design and customer specifications.
Follow up with vendors regarding orders, and update maintenance teams on any delivery lead time revisions. Follow up regarding service/quality concerns.
Maintain healthy business relationships with all vendors and suppliers, ensuring they are held to account for goods purchased.
Payroll administration
To oversee and manage our payroll processes in our accounting software (Kronoes), and human resources systems. This role is critical in ensuring accurate and timely payroll processing
analyze payroll data and implement best practices.
Lead and oversee end-to-end payroll processes, ensuring accuracy, timeliness, and compliance with all applicable federal, provincial and state regulations.
Provide expertise on payroll rules, Identify, analyze, and resolve payroll discrepancies and system inefficiencies proactively.
Cross train with other functional areas to provide support as needed
Communication
Communicate regularly with suppliers, contractors, and the maintenance team to ensure smooth operation and resolve issues.
Provide updates to management on material status, upcoming deliveries, and potential supply challenges.
Problem Solving
Address issues regarding material shortages, quality discrepancies, or delivery delays swiftly to avoid project downtime.
Experience & Education
Minimum 3-5 years of experience in material coordination or logistics.
Experience with manufacturing processes materials acquisition, procurement processes, and inventory control is highly desirable.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent communication skills, both written and verbal.
Proficient in the use of Microsoft Office (Excel, Word, Outlook) and project management software.
Ability to work in a fast-paced and dynamic environment.
